Program Coordinator

Organization: Gorman Heritage Farm, 10052 Reading Rd. Evendale, OH
Hours: Part-time, 20-25 hours/week Hourly, Non-Exempt, Monday-Friday, and weekend or evening hours as needed.

Position Summary: The Program Coordinator position is to support and serve learners from Pre-K through Adults. This role coordinates day-to-day public program logistics, scheduling, partner communication, and volunteer/instructor support to ensure safe, high-quality educational experiences, which support the mission of Gorman Heritage Farm to build a healthy community through farm-based education and experiences about food, sustainable agriculture and the natural world.

Primary Responsibilities

  • Coordinate program scheduling, registration and calendars for Adult & Family Public programs.
  • Work collaboratively with GHF staff on program development to promote the mission of Gorman Heritage Farm.
  • Opportunity to design, develop and implement programs to grow community programming.
  • Assist with program evaluation: collect feedback, track participation data, and help improve program delivery.
  • Serve as the main point of contact for program participants, families, and community partners (inquiries, registrations, confirmations, follow-ups).
  • Manage program logistics: supplies, lesson/material prep support, site readiness in coordination with educators, instructors, volunteers or staff, and day-of program flow.
  • Support educators/instructors/volunteers with necessary GHF informational documents, rosters, checklists, and orientation/training as needed.
  • Coordinate promotion of programs  with Communications/Systems Lead for social media, website, external sites for promotion.
  • Maintain registration and participant records, including waivers, attendance, and payment tracking (as applicable).
  • Maintain organized digital files and program documentation
  • Ensure policies are followed related to safety, accessibility, and risk management.

Additional Responsibilities

  • Participate in staff meetings and contribute to a collaborative, mission-driven culture.
  • Participate in staffing of GHF fundraising events, such as set-up, break-down, and (including but not limited to May Farm Fest,  Row by Row, late August and Sunflower Festival, first weekend in October).
  • Other duties as assigned. 

Required Qualifications

  • Experience coordinating programs, education, youth programming, nonprofit operations, or similar work.
  • Excellent organizational skills; able to manage multiple deadlines and seasonal program volume.
  • Warm, professional communication style with children, families, educators, and community partners.
  • Comfort working in a farm/outdoor environment (uneven terrain, weather variability, animals, and farm activity).
  • Proficiency with basic tech tools: Google Workspace or Microsoft Office, spreadsheets, shared calendars, and databases (or willingness to learn).
  • Ability to pass background checks as required for working with youth.
  • Collaborative leadership style: positive attitude, team player, flexible, willingness to work in a non-profit
  • setting with a small staff. Enthusiasm is desired.

Preferred Qualifications

  • Experience in environmental/agricultural education, outdoor education, museum education, or experiential learning.
  • College degree in Program Management, Business Administration or Education
  • Familiarity with evaluation/outcome tracking.
